Teams need more than just short-term tactics. They need methodologies, structure, and guidelines. They need to understand how to implement the systems, tools, and processes readily available to them to executive effectively and collaboratively.

Problem 1: An unknown leader now public face of a company with a large team and numerous unaware clients.Problem 2: -$750K debt, -$450K yearly losses; Had to cash out 401(k), borrow $ from dad. Once a millionaire, now in debt.Problem 3: 20% new customer growth rate + 12% monthly cancellations ➡️ horrendous financial situation. Marketing fooled us, service was terrible.Problem 4: False rumors that I was running company into ground and should quit.Problem 5: We skipped the basics: no org chart, no hiring process, unqualified team members. We were fast but lacked essential principles.

We were a broken sink

Looking back, Leverage was like a broken sink with water overflowing. I had two options: I could mop faster, or I could fix the sink. I decided to fix the sink.

The reality is, work overload is not caused by lack of time but by countless small inefficiencies that accumulate and drain productivity. Improving communication is a cost-effective way to enhance operations, improve delegation, alignment, awareness, and productivity. For example, optimizing email usage can save over two hours per week per person. Regaining control of your inbox is achievable within a few training sessions, even if you have a large number of unread emails.

Planning is an essential component in organizations, encompassing meetings, work management, and goals. It helps streamline work by ensuring tasks are done correctly, on time, and with minimal waste. Planning provides clarity, accountability, and visibility to team members, enabling them to prioritize and progress efficiently. It also allows managers to monitor project progress without excessive control.

Resources are an important but often overlooked component. It involves documenting company knowledge and digitizing it to save time and improve efficiency. This includes (1) creating a knowledge base for vital information and (2) documenting company processes, allowing anyone to complete tasks and reducing the risk of errors or disruptions.

Chances are, even if you're using these tools, you're not maximizing their potential. Improper setup, training, and mindset are common causes of technology problems. Knowing how and when to use these five categories of tools is essential for effective team collaboration.

Operating in individual ways and using tools without proper collaboration creates problems

For Communication:<ul><li>Use email tools for communicating with people outside the organization</li><li class="ql-align-justify">Use internal communication tools, like real-time messaging, for team communication, not for managing work</li></ul>For Planning:<ul><li> Use work management tools for getting work done, including one-off tasks and projects</li></ul>For Resources:<ul><li>Use knowledge base tools to store critical information</li><li class="ql-align-justify">Use process management tools to document and optimize recurring processes</li></ul>

The Tools Needed

The Scavenger Hunt problem is common in modern businesses due to the prioritization of speed and convenience when saving or sending information, without considering long-term implications. Lack of proper training on information management compounds the issue in addition to optimizing solely for speed of transfer. It's important to prioritize the speed of retrieval when storing and sharing information. Taking a bit more time to create organized documents and add them to a knowledge base will ultimately save time and improve efficiency.

The Scavenger Hunt

Teams often rush to hire more people when they are overwhelmed, thinking that it will solve the problem. However, this approach can actually lead to more issues. Complexity increases exponentially with team size, making workflows more complicated and hindering improvement. If the system is already inefficient, bringing in more people will not fully tap into their potential. Hiring more people may seem like a quick fix, but it ultimately adds to the complexity.

Most tools are set up to provide the maximum number of notifications (pings and dings) by default. Be sure to look through notification settings anytime you install a new tool.

After reflecting on my brother's experience with ChatGPT, I realized that its ability to thrive on information is also its biggest weakness: it struggles with inference. Despite my past success with GPT, I still encountered difficulties. This led me to realize that ChatGPT may not always recognize when it has enough information to accurately complete a request. ChatGPT is a master of semantics, but may (or definitely will) make assumptions about the required information.

Reflection on ChatGPT's Limitations

I discovered a simple phrase that could significantly improve ChatGPT's output - even for complex requests. Just add a single line and watch as ChatGPT weaves more intelligent, compact, and accurate writing.ChatGPT is aware of its limits, but you may not be. It doesn't disclose what it doesn't know, which leads to a lack of awareness. Fortunately, one prompt can remedy this:

The Cure for Awareness

“Before you start, please ask me any questions you have about this so I can give you more context. Be extremely comprehensive.”

After using this prompt, ChatGPT will ask 10-15 insightful questions about information that you forgot to provide. In your next prompt, simply list the numbers of the questions and answer them in sequence.Now that it has all the necessary information, ChatGPT can generate a much more informed output with much less guesswork. You will be amazed at the increase in quality.

#3 Mistake: Expecting perfect answers on the first try and giving up if it's not right.

For the rest of this conversation, I'd like to engage in a Q&A session where you'll provide insights, analyses, and answers based on the uploaded report in PDF format. If you understand, please respond with 'Yes'.</li></ul>Then ask targeted questions.You can even "stress test" by asking it questions that you know are not in the uploaded report.
