Language is generative, and the way we talk about our meetings comes to define what happens in those meetings.Even at a time when so much is beyond our control, we remain in control of our own speech patterns. And so, as leaders and employees continue to rethink what the modern workplace should look like, including how we gather, perhaps it’s an opportune moment to banish certain phrases from the “meeting-speak” lexicon.Here are some of the responses that resonated the most.

Banish Certain Phrases

Often among the first words uttered by an online meeting host, this practice dishonors the time of those who joined on time and does nothing to establish a culture of punctuality for meetings. What the author recommends:Ask everyone to write down their intention or objective for the meeting. This isn’t something that will be shared publicly, but the practice of thinking about one’s objectives before a meeting begins can be grounding.

We’re going to wait five minutes for everyone to join.

To be sure, these words quickly signal that a speaker needs to click the unmute button. But the phrase — often uttered by multiple people at once — has become notoriously grating. It also makes the person on the receiving end of the comment feel silly.What the author recommends:A colleague of mine suggests the gentler, more affirming, “If you’re speaking, I can’t hear you.” Instead of making the silent speaker feel silly, this reframing shows them that you truly want to hear what it is they have to say.

You’re on mute.

Without a clear, quick mention of how and when this “offline” conversation will take place, this is a jargony way to dismiss someone’s idea and put them off indefinitely. What the author recommends:Why not go with something like this: “That’s an important topic that’s beyond the scope of this meeting. I’ll email you when we wrap up.”

Let’s take this offline.

This is not to say that the author is opposed to meetings that end early. But if they’re well-structured, well-run, and surprisingly concise, we should celebrate the fruits of our collaboration and look forward to our next gathering.What the author recommends: Consider saying, “Wow. Because everyone was so productive, we’re done 10 minutes early. Thank you so much for your presence and participation. Have a great day.” This simple rephrasing has the power to reframe your work.

Five Best Productivity Hacks of All Time

Time-shifting can be a wonderful thing. I talked last year about <a href="https://www.mickmel.com/time-shifting-and-clubhouse/">how time-shifting is so helpful for entertainment and communication</a>, which is why I suspected Clubhouse might have trouble staying relevant.There’s another angle to be considered, and that’s time-shifting your effort.

Time-shifting your effort

Part of this is pretty obvious, when you schedule your work around various other priorities and focus when it’s time to focus. If you have an information-oriented job, it’s often pretty easy to slide around your workload to fit your schedule.However, looking ahead can help a bit more and I’ve seen this come up in two ways.

Effort

The first is the weekly preview. My routines can vary a little bit, but <a href="https://www.mickmel.com/weekly-previews-are-intentionally-inefficient/">I haven’t missed a weekly preview in a few years now</a>. Some are more in-depth and some are rushed, but they always get done.The beauty of these are to identify issues well in advance, because solving them the day they arise can be way more difficult. For example, if my wife and I both have a meeting at 3:00 one afternoon, neither of us can pick up our daughter from school. If we discover the overlap a week early, we can adjust schedules or find a friend to help. If we discover the issue at 2:55 that day, it’s a big problem.

Weekly

The second is just looking at the day ahead. A few days ago, I knew I’d have a busy Saturday morning running some errands, and I wasn’t sure the best route to get from one to the next. Complicating things further is that they weren’t easy things to just look up the address for (one was a weekly vegetable pickup, the other was an emissions test I needed at a place I didn’t know the name of).In this case, I looked them up the night before and put the events (and addresses!) in my calendar. When I hopped in the car, Android Auto knew where I needed to be next and it was one tap from stop to stop.

Daily

In both cases, I time-shifted my effort back to an earlier time in order to help future me have an easier time with things. I’m not always good about seeing those issues in advance, but the weekly preview really helps expose a lot of them, and then being wise enough to take the time then to solve them is something I never regret.

Motivation works well in the short-term. If you set a new goal, you can probably summon up the motivation to pursue it earnestly for a week or two. But motivation wanes. If your goal takes more than a month or two, you’re going to need more than just motivation. You’re going to need habits.Habit-building methods are great because they translate that short-term motivation into something more durable. If you invest in consistent routines, with triggers, rewards and punishments, you can stabilize that motivation into systematic output.

Habit Formation

This transition from motivated bursts to stable habits is often so powerful that people who’ve never tried it before become proselytizing converts.I know many <a href="http://zenhabits.net/">bloggers </a><a href="http://www.stevepavlina.com/">that </a><a href="http://jamesclear.com/">built </a>their initial audiences on habit forming. Part of that is because habits are a popular topic. But I suspect the real reason is that the methods are so powerful that people feel compelled to start a blog about them.

First there’s the effort of reading. Depending on the difficulty of the book, this might require a lot of effort or zero effort. Imagine the difference between a quantum physics textbook and a Harry Potter book and you’ll see why.

This makes sense because even if you eliminate the decision effort, you still have to pay the intrinsic effort. </li><li>Most habits are only metastable . <a href="https://en.wikipedia.org/wiki/Metastability">Metastability </a>is a concept in physics where a certain state of affairs is stable, but small perturbations can break that stability. </li></ul>

Habits are Metastable

This idea of metastability conforms to my experience as the reason why I’ve found few habits have had permanent lifespans. <ul><li>Inevitably, the habit breaks down because of a temporary lifestyle change: a vacation, an illness, needing to move or work overtime. </li><li>These create shocks which are often enough to break the behavior, increase the decision cost, making it no longer automatic when you return to the habit.</li></ul>

Why Habits Fade ? 

<ul><li>This metastability suggests that the most important positions to look at when setting a habit are during possible disruptions. If you temporarily have to break a habit, then re-establishing it as soon as the interruption is gone should be your top priority.</li></ul>Even better if you can avoid breaking the habit at all, creating a placeholder habit in its absence. That might mean reading five pages instead of fifty when you’re busy, or doing a home workout when you’re traveling instead of going to the gym.

No matter how small a task is, creating a list of all the things you need to accomplish throughout the course of your day will help you stay on track. Being able to cross off some of the simpler tasks you need to handle will keep you motivated.

Step 1: Create a list. 

If you put the tedious jobs at the top of your to-do list, it’ll be harder for you to avoid them throughout your day. Remember to remove distractions like your TV, and try to take care of the daunting stuff before handling the easier tasks on your list.

Step 2: Tackle the tedious stuff first.

It’s important to take short breaks about every 15-30 minutes when taking on a boring, time-consuming task. Procrastination is all mental, so trick your brain by breaking that one monumental task into several simpler ones that you can accomplish in between breaks.

Step 3: Take breaks.

When you finally scratch something off your to-do list, be sure to reward yourself. Indulging in a temptation you removed, such as Netflix, or treating yourself to a little online shopping is all you need. Just be sure to not give in until the job is completely finished! Most jobs today are accompanied by some larger, more boring tasks that need to be done, and real estate is no different. However, with a game plan and a little perseverance, you can boost your productivity and break these procrastination habits.
