Everything Is Getting Measured

Around 6,000 years ago, the first standardised units were deployed in river valley civilisations such as ancient Egypt, where the cubit was defined by the length of the human arm, from elbow to the tip of the middle finger, and used to measure out the dimensions of the pyramids. In the Middle Ages, the task of regulating measurement to facilitate trade was both privilege and a burden for rulers: a means of exercising power over their subjects, and a trigger for unrest.

Made to measure: why we can’t stop quantifying our lives

You want to eat healthier but instead, reach for junk food. You want your kids to fold and put away their clothes, but you don't want to remind them constantly. You'd like your spouse to remember to do the dishes, but you don't want to nag. There's a way to get people to do more things you need and want to do without nagging. It's called nudge theory.

Encourage people with the nudge theory

Nudge theory is the practice of shaping one’s environment to encourage people to make a specific decision. Nudging uses small, subtle reminders and indirect suggestions to influence behaviour instead of obvious incentives or strict enforcement. A nudge is only effective if the person being nudged does not perceive any restriction in their options. They should feel in control of the decisions they make.

Telling your partner in the morning to get something from the store in the afternoon will not be very effective, but sending them a text just as they leave work will.</li><li>Planning prompts: getting people to make concrete when, where, and how you'll do something will increase follow through. A parent can ask their child "what time will you do your homework?" and "how will you remind yourself?"</li><li>Discourage certain behaviours by putting small barriers between yourself and the behaviour. Putting your phone in a different room can prevent checking it every five minutes.</li></ul>

Creating a meal plan on your off day or signing up for a class at the gym a few days in advance will help to get your behaviour aligned with your long-term intentions, not just for what you want right now.

Many people try to find the perfect productivity system, hoping that it will help them better manage their work and mental health. However, there is no universal productivity system. For example, a remote worker may need a different approach to someone commuting to work.
Everyone should intentionally design a system based on their needs by using existing systems and adding personal touches.

Choosing a productivity system

GTD was created by David Allen and is about taking your ideas, tasks and to-dos and organise them into manageable tasks. How to deal with tasks:<ul><li>Write down anything that's on your mind, like a brain dump.</li><li>Break it down into smaller, manageable steps.</li><li>Organise your tasks based on priority.</li><li>Reflect and refine your task.</li><li>Do the tasks.</li></ul>

Getting Things Done (GTD)

Leo Babauta created ZTD. It focuses on one habit at a time but with more structure and simplicity. It's based on several habits which you can incorporate in any order, including collect, process, plan, do, organise, review, and simplify.

Zen to Done system (ZTD)

This method is useful for people who get easily distracted. With the Pomodoro method, you split your work sessions into 25- minutes, followed by a 5-minute break. Most people use a timer for this productivity technique.

The Pomodoro Technique

Time blocking helps to set aside chunks of time for specific goals. It can be used with other productivity systems. To use it, just block off time in your existing calendar.

Sometimes, we are unsure how to handle a lengthy task list. The Eisenhower Matrix help you prioritise your tasks based on the following:<ul><li>Urgent and Important tasks. Do the task now.</li><li>Important but not urgent tasks. Schedule when you must do it. </li><li>Urgent but not important tasks. Delegate these tasks.</li><li>Neither urgent nor important. Delete these tasks.</li></ul>

The Eisenhower Matrix

In the Moscow Method, you list all your tasks, then categorise them as follows:<ul><li>Must. These tasks are not negotiable and must be done today.</li><li>Should. These tasks are important but can wait for later.</li><li>Could. These tasks are not urgent and can be done when you don't feel very productive.</li><li>Won't. These tasks must be deleted from your to-do list.</li></ul>

The Moscow Method

Projects can be managed with a Kanban board. Make three columns, To Do, Doing, and Done. Then split your tasks between them. <ul><li>To Do. Writing your tasks in this column makes them visible.</li><li>Doing. Limit your work in progress to three items.</li><li>Do﻿ne. Write your completed tasks in this column for reviewing and improving the process.</li></ul>

Let’s cut to the chase: there is no universally perfect productivity system. Instead of wasting time trying to copy-and-paste a system from a self-help book, everyone should intentionally design a system that works for them.
